Save storage space – OneDrive Files On-Demand

With Files On-Demand, all OneDrive and SharePoint files are visible in File Explorer or Finder but only take up space once they are opened. This saves a lot of storage on the device.

Status icons

  • Cloud: online only, uses no space. Opening requires internet.

  • Green check (white): was opened and is available locally.

  • Green check (solid green): always on the device, available offline too.

Free up space

  1. In File Explorer (Windows) or Finder (Mac), right-click a file or folder in OneDrive.

  2. Windows: choose Free up space. Mac: choose Remove Download.

  3. The files remain visible and are downloaded again the next time they are opened.

Make available offline

Right-click › Always keep on this device, e.g. before a trip.

Turn on the feature (Windows)

Click the OneDrive cloud in the taskbar › gear › Settings › Sync and back up › Advanced settings › under Files On-Demand, choose Free up disk space and download files as you use them. This is usually already set on company devices.

Tip: If storage stays full, look for large files outside OneDrive, e.g. in the Downloads folder.
